How the latest SAP Business One updates can help your SME

Have you seen what the SAP Business One update, released at the end of February, brought to its user base? Here are our key takeaways.

This February, SAP announced an exciting new range of features for SAP Business One that SMEs can take advantage of. We’ve unpacked what came in the latest release and pulled out the features most helpful to SMEs. Here’s our round up how they can help your business.

What came out with the latest SAP release?

In February,  SAP Business One 10.0 moved to Feature Package (FP) 2502, it brought several new modules available in the web client, along with improved integration with Microsoft 365 and SharePoint. Let’s explore each in a bit more detail. 

The new financial modules now available in the Web Client

As SAP Business One continues to develop its Web Client offerings, it’s encouraging more and more users to take advantage of its capabilities with new modules. FP2502 introduced the following: 

  • Chart of Accounts The Web Client now features a fully interactive Chart of Accounts app, offering a clear, hierarchical view of all general ledger accounts. You can create, edit, and manage accounts with ease, directly from the streamlined, browser-based interface. 
  • Journal Vouchers You can now view, filter, and manage journal vouchers directly in the Web Client, giving you greater flexibility in handling unposted transactions. Your drafts can be reviewed and adjusted before posting, reducing errors in the general ledger. 
  • Recurring Journal Entries Recurring journal entries can now be set up and managed in the Web Client, enabling automated posting for regular transactions like rent or subscriptions. The feature includes scheduling options and preview functionality, making financial automation smoother.

These changes to the modules in the Web Client will lead to a significant enhancement of usability for finance teams, allowing for faster working but with more accuracy. These changes are all part of SAP Business One’s vision to get more and more users taking advantage of the Web Client, where SMEs will benefit from the accessibility and flexibility that it brings.   

New stock modules now available in the Web Client

In a similar light, the new stock modules available in the Web Client version will go a long way to making stock takes easier. Here’s what’s been enhanced: 

  • Stock countingThe Web Client now allows users to initiate and manage stock counting processes, making it easier to reconcile physical inventory with system records. It supports both cycle counting and full counts, with real-time updates and simplified data entry. 
  • Stock transfers requests – You can create and track stock transfer requests directly in the web client, streamlining internal logistics between warehouses or locations. The intuitive interface makes it easy to define source, destination, and item details without switching to the desktop app. 
  • Stock transfersThe new Stock Transfer app enables you to execute actual movement of goods between warehouses with full control over batches, serial numbers and bin locations. It improves operational efficiency by supporting both planned and ad-hoc stock movements in a browser-friendly environment. 

With these Web Client enhancements, SMEs can further benefit from increased efficiency and flexibility. Your teams can now perform key inventory tasks from any device, anywhere, with no need to log into a desktop client to complete them.  

New integration support for Microsoft 365 and SharePoint 

SAP Business One’s Microsoft 365 integration has been enhanced significantly. Firstly, you can now select or create a folder in your SharePoint to put your exported files, such as invoices, orders and delivery notes.  

Previously, only OneDrive was supported. Microsoft 365 integration now allows users to export reports, journal entries and financial data directly into an Excel spreadsheet online. No more downloading, editing and re-uploading it’s now all available in the cloud and the Web Client. 

These changes bring SAP Business One and Microsoft 365 much closer together. SMEs and their teams can now benefit from reduced reliance on local file storage when inputting data to SAP Business One. Hybrid and remote teams are now supported, with time saved across finance, sales and operations. 

Additional changes to fields and user-defined values

The new User-Defined Values (UDV) functionality in the latest SAP Business One Web Client brings automation and dynamic field population to the browser-based interface.  

You can automate data entry with formula-based defaults and conditional logic, reducing manual input and enhancing accuracy. UDVs now include filtered lists, enabling more context-specific options for fields. These changes, previously only available in the desktop client, are now fully available in the Web Client, so your people can benefit from streamlined workflow, wherever they’re working. 

Customer field values can now be carried out with a filtered list. Users can define custom fields for capturing specific customer-related data, such as preferences or additional contact details. These custom fields provide more flexibility in managing customer information and can be integrated into forms and reports for better analysis and personalisation. SAP has released a video of what this looks like in real-time. 

These changes help to create more personalised customer interactions, improving sales and services processes, and giving you greater insights for decision-making and reporting.
