Exploring SAP Business One
A powerful, flexible and affordable way to manage your entire business.
SAP Business One is an ERP system that integrates your key business functions to streamline processes and help you uncover deeper insights into your business performance.
Available in the cloud or on-premise SAP Business One brings together finance, accounting, purchasing, sales, CRM, inventory and project management. It enables you to make better business decisions, faster, improving your agility and increasing profitability.
SAP Business One Licensing
The licensing model for SAP Business One providers you with a level of flexibility and configuration capabilities so you can maximise on your investment.
The first option is Perpetual Licensing for SAP B1, this refers to an up-front investment which effectively means you own the software and can use it for years to come without further costs – other than support and maintenance.
The second option is Subscription Licensing for SAP B1, this would involve an annual renewal cost if you want to continue using the software. Read our blog on Demystifying the licensing of SAP B1 for further information.

SAP Business One System Functionality

Accounting and financials
Unite financial operations with other processes to speed up transactions and improve cash flow. Automate the handling of all key accounting processes such as journal entries, cash flow management, budget control, and simplified management of fixed assets.
Inventory and distribution
Get a better understanding of your current inventory levels and purchasing needs, based on upcoming orders and seasonal predictions. Through more efficient and structured materials management, you can make sure you always have the right level of inventory to meet customer demands.
Project and resource management
Manage your projects with a full view of key events, timelines, and resource allocation, giving you a more streamlined approach to project management.
Production and MRP
With user-friendly MRP you can create forecasts and recommendations for purchase orders and production orders based on the current status of transactions in the system. By considering both minimum order quantities and order multiples, you can schedule orders with more structure, to reduce errors and costs.
CRM, sales, and service
Oversee the entire sales process and customer lifecycle more efficiently—from initial contact to final sale, and on to after-sales service and support. You can track all sales opportunities and lead activities throughout the sales cycle; create, manage, and analyse marketing activities to turn prospects into customers; and store critical customer data in one place.
Purchasing and operations
Optimise purchasing practices, and control costs by managing the complete order-to-pay cycle including receipts, invoices, returns, and payments. Streamline procurement such as requisition requests; purchase orders and goods received; and returns management. Lower your supply chain costs and optimise your relationships with more robust accounts-payable invoicing.
SAP Software Licensing
SAP Business One software licensing gives you control over what elements of SAP Business One your employees can access, ensuring that the software is utilised in accordance with the SAP user agreement. Below are the different types of named user licence available.
This licence essentially gives the user full access to every module in SAP with ability to customise the permissions granted for users if an authorised ‘superuser’.
This license gives the user access to most aspects of the sales and purchasing modules. Its predominant use is to give users access to inventory controls and the production module functionality.
This licence gives the user full access to the CRM modules as well as being given the opportunity to input sales quotations and sales orders. In turn CRM licenses give the user full access to service and HR modules.
The predominant focus of this module is to give the user full access to the financial module, reporting, banking and some access to sales and purchasing functions.
Mobile User (Sales)
This license is a cost effective way to licence specific CRM and sales functionality on a mobile device (phone or tablet for an individual that needs to access system data and process transactions away from an office location and does not have any of the above licences).
Mobile User (Service)
This license is a cost effective way to licence specific CRM and Service module functionality on a mobile device (phone or tablet) typically for a service / installation engineer that undertakes work on a customers site and does not have an office base.
SAP Business One data can be accessed indirectly through integrated 3rd party software applications, for which indirect SAP licences maybe required. For example, a license would be required with EDI (Electronic Data Interchange) applications, for sending and receiving high volumes of data in specified formats.
SAP HANA is a data-driven, in-memory database that ignites fast, real-time decisions and action. As the data element of SAP Business One, it provides advanced analytics, on premise and in the cloud.
HANA vs SQL
SAP Business One ERP software has the ultimate flexibility to be available with two different types of database as standard – SAP HANA and Microsoft SQL. Each database type can be licensed as part of an overall solution.
Growing SME’s often utilise the power of Analytics style reporting to support continued growth. SAP Business One HANA provides the ability to undertake in depth analysis of company data and uncover hidden data trends without extensive in-house IT skills.
